Project Estimation

Project-based organizations often manage financial estimates in scattered spreadsheets and emails, making it hard for managers and stakeholders to understand how projects perform over time. Our Project Estimation solution centralizes project planning in a monthly rolling process integrated with budget and forecasting, giving project managers the operational detail they need and finance teams a consistent, transparent view of each project's financial performance.

Module features

This module brings together the core capabilities you rely on every day.
Rolling project control
The solution enables a monthly rolling process with a planning horizon of up to 36 months. An automated roll-forward calendar seamlessly advances the process to the next period, while all data is archived nightly. This approach makes it simple to track project performance over time, revisit earlier estimates, and compare how each project evolves from one period to the next.
Project manager view
The startup view offers a clear project overview, displaying current key information along with changes since the last estimate. It can be organized into categories such as construction projects, service orders, and service agreements. Project managers can apply filters by organization, project manager, customer, and workflow state. These filter preferences are saved to their profile, ensuring they automatically return to their own projects each time they log in.
Flexible estimation
The detailed estimation screen features a customizable line‑item structure, typically divided into income, materials, hours, and miscellaneous items such as warranties and project risk. Project managers can create estimates for the main project or for sub‑projects and work orders, choose between estimating total amounts or only the remaining portion, add comments and attachments, and allocate remaining amounts across future months using distribution keys tailored to each line‑item type.
Hour‑driven accuracy
The dedicated hours planning module allows users to schedule hours by employee or category, on a weekly or monthly basis, with full visibility into historical hours already posted or registered. Input can be provided in hours, headcount, or workdays, while hourly costs can be entered directly or imported from the organization’s budget and forecast. The total calculated cost can then be imported back into the project line‑items, serving as a robust quality check for project estimates.
Integrated with reality
Actuals are imported daily from the customer’s source systems and split between total actuals and amounts posted in the current accounting period, ensuring project managers always have the latest ledger postings and invoices. A streamlined workflow moves each project through states such as 'New', 'Never Estimated', 'Not Estimated', 'Started', and 'Estimated'. When new versions are deployed, data flows seamlessly to the Profitbase Financial Planning & Analysis solution. Contributors can reload project estimation data at any time within their area of responsibility.
