Efficient budget process saves time
At the steel mill SSAB Oxelösund, 250 people are involved in the budgeting and forecasting work. To make this process more efficient, increases the cost-consciousness, and encourages taking greater responsibility in the organization. Earlier there was a complex system mostly based on spreadsheets and demanding large manual efforts.
– The system worked all right, but it was hard to keep the processes together. Executives had a hard time keeping an overview of the work as it progressed, says Markus Berg, chief controller at SSAB.
SSAB were looking for a system that was able to manage the work processes already in place. The system should also keep track of how far certain sub-processes of budgeting and forecasting had come, and when they were completed. They chose Hypergene.
– I have to say, the best thing about Hypergene is that is it so user-friendly. Getting started went very well. I understand the users received the system really well.
Aside from the desired time savings on different levels, Hypergene as a coherent system has helped generate quality gains.
– We've been able to build it just the way we wanted it. Much of that thanks to the fact that the consultants from Hypergene have had such a close cooperation with their own development department, Markus finishes.

Decisions close to the business
– With a performance management system you get an excellent overview for corporate management and thereby opens up new possibilities for planning the business, says Lisbeth Hoff, controller at real-estate company Landskronahem.
The goal when introducing Hypergene was among other things, to make the budgeting and forecasting work efficient and decentralized. Today over 70% of all employees are users of the system, and most of them now enter their own parts of the forecasts.
A large user group consists of people that manage operations and maintenance in the buildings, so-called building hosts. The building hosts can view simple pie charts directly on their browser home page, to see how their results match budget or the latest forecast. The system gives both a manageable overall picture view and the opportunity to analyze what affected single records. Costs can quickly be derived and it is easy to compare budget to actual bottom line.
– With just a single click they know how close they are to budget – if they have money to spare or not. Lisbeth claims the system helps creating involvement.
The house hosts feel that have been given a larger space for action. Actions that lower costs in an area create possibilities to invest more for instance in the visual exterior environment.
The system has made it possible to move decisions outwards in the organization, and also to create a better dialog with the economy functions and the corporate officers.
– Getting started with Hypergene was a very speedy process. I am sure that with other solutions, it would have taken considerably longer time to build our new data warehouse.

Efficient solution built on new a data warehouse
– With Hypergene we don't have to build everything from the ground up. The system has a good core, where lots of functionality's already built-in, says Martin Rönnow, controller at Busslink, who participated in the purchase process.
The old data structure, built on OLAP cubes, needed a replacement. The existing solution had limitations when extending the data warehose to integrate with more corporate IT systems. The choice between vendors was either Hypergene, or another well-known brand. Most of the other established vendors were never even mentioned, since they represent all too costly solutions.
– Getting started with Hypergene was a very speedy process. I am sure that with other solutions, it would have taken considerably longer to build our new data warehouse.
Martin reflects on the process of purchasing a business system, say, a major accounting solution. In that case the requirements on the solution typically expect lots of built-in functionality. In the business intelligence field, the market accepts that the systems demand large consultant efforts.
– In that area, Hypergene's solution stands for a new way of thinking. With Hypergene's functionality, we as a customer can manage a lot of it ourselves.
– Now we can get statistics quickly. Before, it was too time-consuming to get data on who were our biggest customers or which were our largets business.

Reporting needs gave full solution
Sensus was looking for a solution that could generate good reports and overviews from existing CRM systems. They found it in Hypergene.

A decisive factor in Sensus choosing Hypergene was, apart from the system handling reports from the organization's other business systems, that budgeting and forecasting were fully integrated in the system.
– The budgeting and forecasting solution enabled a better overview of the whole organization. Therefore, that application was implemented first. Data from the CRM system has been incorporated after that, and helps make the forecasts more precise.
The business problem also included that Sensus is a decentralized organization, with regional offices working independently. Different regional offices used different terms for both groups of records and names for actual cost and revenue items. Hypergene's features for mapping data solved this problem efficiently.
– Already at an early stage, the users felt they had a great value from the information they got via Hypergene. That created a self-interest in entering correct data in time. This has absolutely contributed to making the solution work out so well, Marcus concludes.

Strategic planning with both soft and hard values
To be able to evaluate the high schools and adult education programs in the municipality, the education authorities in the municipality of Lund needed a better overview of educational results and attitudes.
– The organization is measured using different indicators, and to get these fully comparable it was necessary to find a standardized method to obtain, for each school district, the value of each such indicator, says Peter Håkansson, head of development at Lund's educational authorities.
In addition to the system's handling of regular parameters like statistics of study results, it was also important to be able to enter the results from various surveys. This required to find a system that managed indata in the form of numbers as well as text. The solution was found in Hypergene.
– The system works precisely the way we wanted it to. Today we can present both educational results per school and program, as well as the result of different surveys of attitudes.
Both school managers and politicians have gained access to statistics via Hypergene, statistics that valuably add to developing the school activity in the municipality of Lund. Earlier annual reports were mostly lists of all the activities during that year. Now the annual report contains interesting data that indicates how the continuous quality improvement work impacts the municipality.
– With our new tool we can also very simply generate reports where different decision levels can se how overarching goals have been broken down to operative goals and activities.

Creates both quantitative and qualitative goals in effective work processes
The control process in a municipality often consists of non-quantifyable goals. Such qualitative goals are often text-based. The municipality of Botkyrka wanted these text-based goal and commitments should be presented in an integrated process, all the way from unit, department up to council level. The result, the so-called one-year plans, were previously created in an incoherent structure of individual text documents that did not work well with the organization.
– We needed to find a method for communicating large masses of text in a more practical way, says Göran Karlsson, Budget Manager at municipality of Botkyrka.
The municipality wished to develop this process, and integrate it into the same tool that already handled the budget process – Hypergene. By a close cooperation with Hypergene's development staff their wish came true.
– The tool is deployed, and during this year we count on rolling it out fully on unit level. With many users, and compared to the earlier work process, the collective time gains for the municipality will be substantial.
– With our new tool we can also very simply generate reports where different decision levels can see how overarching goals have been broken down to operative goals and activities.
Göran looks ahead, and concludes:
– With the current system we've laid the groundwork needed for efficient monitoring. The system is now being further developed so that the follow-up will be integrated.
– This setup has saved consultant time. Also, the buy-in from the users was already finished when we entered production mode. The users are very satisfied.

Involving the users early saved consultant time
Like many organizations, Jernhusen strives to improve their work processes. Attempts to improve the budgeting process have been initiated, a few times. The results were more or less successful, but the need to improve the process never really went all the way.
After implementing Hypergene as an energy follow-up application Jernhusen found that that system also satisfied the functional specification of the budget process improvement project.
– Internally, we created a project model. Very early in the development work we involved those who were affected by the budget process. Therefore we were sure about what we wanted when we ordered the budgeting system, says Johan Thorberg, business developer at Jernhusen.
The strategy turned out to be a very good one.
– This setup has saved consultant time. Also, the buy-in from the users was already finished when we entered production mode. The users are very satisfied.
– With Hypergene we finish this process very rapidly. The time we have saved compared to earlier systems, in the form of better data entry and higher quality assurance, we can now invest in developing our business and take care of our customers.
– Before, the financial reports was compiled in a multitude of spreadsheets. Now, the consolidated corporate result is just a click away.
Stefan Högberg, TV4
The need for a full-scope solution decided the choice
TV4 is an organization that has experienced very rapid growth. Therefore the newly-instated business controller Stefan Högberg could tell that the corporate performance management needed to be developed.
– The need existed in all areas, really. But what we first needed to take on was the financial reporting and the project reporting.
Bonnier, the parent company, expressed a desire to use a single tool across the whole corporation.
– We came to the conclusion that we needed a end-to-end solution that also handled budgeting and forecasting. Hypergene was a very cost-effective option, and a system that we also had good experience with.
In TV4's core operation, that is commercials booking, Hypergen was used to generate reports about sales, booking, and viewer statistics. The system for the financial reporting is up and running and today the company board and other officers can themselves follow up and simply derive and analyze any deviations. It has become so much simpler to give the board access to good information.
– Before, the financial reporting was compiled in a multitude of spreadsheets. Now, the corporation result report is just a click away.
– The Hypergene applications satisfied our demands very well, and it serves both external and internal reporting needs.

Corporate reporting with option to analyze reported data
When Din Bil Sverige AB became a part of the German Volkswagen corporation new demands were placed on corporate reporting to the new owner.
– At the same time as we were looking for a solution to satisfy the requirements for corporate reports and controller reporting from our new owners, we also wanted to find a solution that could serve our internal reporting needs, says Måns Broberg, project manager at Din Bil. An important requirement on the system was that it could handle both corporate consolidation and detailed owner reporting.
– The Hypergene application satisfied our demands very well, and it serves both external and internal reporting needs.
Currently, the Swedish accounting does not contain all the data needed for the owners' report to the German company, as it is quite detailed. The application then has to merge dimensionality from the Swedish accounting, on the transaction level, with data from several other business systems.
– At this point we can, as the need arises, quickly analyze and break down our reporting to the most detailed level.
The corporate performance management solution is continuing to be developed, and now focus is on internal controlling, for instance on analysis of key performance indicator.
